We understand that travel plans can change. At Hotel Candlewood and Restaurant, we aim to be as flexible as possible while maintaining a fair policy for all guests. Please review our cancellation and modification terms carefully before making a reservation.
All cancellation timelines are calculated from your check-in date at 12:00 PM IST. Refunds are processed to the original payment method within 7–10 business days.
1. Standard Cancellation Policy
The following charges apply for bookings made directly through our website, phone, or front desk:

Tip: Cancel more than 72 hours in advance to receive a full refund with no deductions.
2. Non-Refundable Rate Bookings
Certain promotional or heavily discounted rates are offered on a non-refundable basis. These bookings are clearly marked as "Non-Refundable" at the time of booking. For such reservations:
No refund will be issued regardless of cancellation timing.
The booking cannot be modified or transferred to different dates.
In case of a genuine emergency, please contact us — we will try our best to assist, at our discretion.
3. Third-Party & OTA Bookings
If you booked through an Online Travel Agent (OTA) such as Booking.com, MakeMyTrip, Agoda, Goibibo, or any other platform:
The cancellation policy of that OTA platform will apply, as they process the payment and refund.
Please contact the OTA directly to cancel or modify your booking.
We are unable to process refunds for OTA bookings on their behalf.
For urgent situations, feel free to contact us and we will coordinate with the OTA where possible.
4. Booking Modifications
Date Changes: Modifications to check-in or check-out dates are subject to availability. If the new dates have a higher room rate, the difference will be charged.
Room Upgrades/Downgrades: Requests for room type changes are subject to availability and may result in a rate adjustment.
Guest Count Changes: Any change in the number of guests must be communicated in advance. Additional guests may attract extra charges.
Modification requests must be made at least 24 hours before check-in for standard bookings. Non-refundable bookings cannot be modified.
5. Early Departure
If you check out before your confirmed check-out date:
The remaining nights will be charged at 50% of the room rate for the unused nights.
This policy does not apply if early departure is due to a hotel-related issue — in such cases, a full refund for unused nights will be provided.
Please inform the front desk as early as possible if your plans change during your stay.
6. Group Bookings (5+ Rooms)
Group reservations of 5 or more rooms are subject to a separate group cancellation policy:
More than 30 days before arrival: Full refund, no cancellation charge.
15–30 days before arrival: 25% of the total group booking amount is non-refundable.
7–14 days before arrival: 50% of the total group booking amount is non-refundable.
Less than 7 days before arrival: 100% of the total group booking amount is non-refundable.

7. Special Occasions & Peak Season
During peak travel periods — including national holidays, festivals (Diwali, Holi, New Year), and long weekends — modified cancellation policies may apply:
Minimum stay requirements may be enforced.
Cancellations during peak season may be subject to a minimum 50% charge regardless of notice period.
Peak season dates will be communicated at the time of booking.
8. How to Cancel a Booking
To cancel or modify a direct booking with us, please follow these steps:
Contact us by phone or email using the details below. Please have your booking reference number ready.
Confirm the cancellation with our reservations team. You will receive a written cancellation confirmation via email.
Refund processing begins within 2 business days of confirmation. Funds typically reflect in 7–10 business days depending on your bank.
9. Refund Processing
Refunds are processed to the original payment method used at the time of booking.
Credit/debit card refunds typically take 5–10 business days to appear on your statement.
UPI and net banking refunds typically take 3–5 business days.
Cash payments are refunded by bank transfer (NEFT/IMPS) — please provide your bank account details when requesting a refund.
We are not responsible for delays caused by your bank or payment processor.
